Robert Burns Dinner - Guide
Normally scheduled last Friday of January
Volunteers - Leader and 8 others recommended. Scheduled date/time set by President. Update WEB Site with schedule. Get started by September to assure host site can support us. We recommend O Club at MCAS due to them being so very supportive of the Society.

Volunteers - Leader and 8 others recommended. Scheduled date/time set by President. Update WEB Site with schedule. Get started by September to assure host site can support us. We recommend O Club at MCAS due to them being so very supportive of the Society.
Leader -
- Responsible for the organization of the RBD including getting people involved by giving Toasts, Blessing the Haggis, Giving a Speech, Setting up Flags, and Cleaning up afterwards.
- Call for volunteers and assigning their duties
- Works with the organization for authorization where the RBD is to be held, i.e. Officers Club, MCAS
- Getting a Quote from the Site Hosting the RBD
- Total est cost including Room charge, Audio Visual Equipment, Table Setup, Food, beverage, Servers, and Bar Tender etc.
- Price per meal - meal to be served including desserts to pick from
- Include cost of Haggis and Scotch per person
- Estimate for 65 attendees
- Determine with BOD and Exchequer the estimate cost per person
- Assure Piper agrees to play at RBD
- Stay within budget @$4200
Other Volunteer Duties are:
- Draft/Print Robert Burns Dinner Program @ 15 days before RBD. Normally, the President leads the event.
- Draft/Issue Invitation to match Quote about 30-45 days before the RBD. Normally, Money sent to PO Box, checks picked up and Deposited, List of Attendees and Meal Selection needed 15 days before RBD Date.
- Issue RBD “Save the Date” about 60 days before event
- Help with Parking if needed
- Ask someone to be responsible for Flag/ Standards Poles and Stands (Call for Members to bring Tartans by a certain date/ time)
- Set up Tartans on each side of the front entrance door prior to first arrival
- Then during cocktails move the Tartans to the front of the room
- Plan for table decorations for 11-12 tables
- Setup tables if needed. Print Table Seating Cards as needed.
- Gather Podium along with Speakers/Microphone and locate the Podium to the side about half way between the tables so most can see and hear
- Assign someone to take official pictures and forward them to SASLSC Web Master
- Assign opening and closing the venue including final cleanup
- Set up Receiving Table for Sign-in and Seating assignments
- Be sure doors are closed after cocktail hour to minimize outside noise

- Responsible for the organization of the Kirkin including setting the Theme of the Kirkin
- Call for volunteers and assigning their duties
- Works with the organization for authorization where the Kirkin is to be held, i.e. Old Shelton Church is St. Helena Church
- Stay within budget @$2000
Other Volunteer Duties are:
- Call for sponsorship
- Get one Lead Minister and one prayer Minister
- Get Police escort
- Get Porta Potties
- Schedule Piano/ Musician and Pipe & Drum Band at least 3 months ahead.
- Assign Communications Team - Make Kirkin Bulletin, article for news paper, article for churches, signage, etc.
- Help with Parking if needed
- Responsible for Flag/ Standards Poles and Stands
- Gather Podium and chairs for Kirkin along with Speakers and Microphone
- Have about 6-8 extra chairs in Church for nonmembers
- Assign 2 ushers to guide guest into the Kirkin and carry the collection plate
- Assign someone to take official pictures and forward them to SASLSC Web Master
- Assign opening and closing the venue including final cleanup

Leader -
- Responsible for the organization of the Savannah Games by working with the Contact, filling out forms for Society to attend, make assignments of volunteer members, communications to the membership and overseeing the success of the event.
- Call for volunteers and assigning their duties
- Stay within budget @$500
Other Volunteer Duties are:
1. Savannah Games contact is Neill McDonald
2. Normally there is no charge for tent space, table, chairs
3. We have to bring our own food and drinks - need to decide who brings everything (cups, ice, utensils, food, drinks, etc.)
4. Need to fill out registration form
5. Need a 10x10 Tent
6. Need to bring our Flag/Banner along with Scottish Flag and Tartans for decorating out Tent
7. Cars need to be removed by 8:30am
8. Need to assign people for Setup and Cleanup
